Mandatory, but not on paper
In many countries, accommodation providers are required by law to record their guests in a register, and the guests must sign a registration form. On top of that, most municipalities or regions levy a charge on overnight stays, called tourist tax, city tax, Kurtaxe or visitor levy depending on the place, which the accommodation collects and passes on.
How the registration form is kept is usually not tied to paper. It has to be complete, signed and retained. That works better on the phone before arrival than at the kitchen table after ten hours of travelling.
What the module does
Link before arrival
from the booking a message with the link to the form is created a few days before arrival, with one reminder.
Fields according to local rules
name, date of birth, nationality, address, travel document for foreign guests where required, fellow travellers, arrival and departure. Only what your country or region requires.
Signature on screen
with timestamp, stored as a PDF in the guest register.
Tourist tax
calculated from a table you configure for your municipality or region: per night and person or as a percentage of the price, with the exemptions that apply, for example for children.
Settlement
a list per month or quarter for the municipality, as PDF and spreadsheet.
Submission
to the authority through the route it offers, such as an online portal of the tourism board or an email with the list.
The rate and the exemptions depend on the municipality or region, and they change. The module therefore does not guess: it calculates per booking from the table you enter and confirm. As an invented example, at 2.50 euros per person and night, two adults staying four nights come to 20 euros.

The hotel case: check-in without a form
In a hotel the digital registration form replaces the card at the desk. The guest has filled it in before arrival, the front desk checks the travel document and confirms. For guests without a pre-filled form there is a tablet at the front desk or paper as before.
What you need
The bookings from your system via the integration, the rate and exemptions of your municipality or region, and the information on how the authority accepts the report. The message to the guest goes by WhatsApp or email; together with the door code this makes self check-in.
When it is not worth it
- If your authority accepts paper reports only and you have to print the form anyway; only the benefit of collecting the data in advance remains.
- With very few bookings a year.

Frequently asked questions
Is a signature on screen valid?
Registration rules usually require the guest’s signature on the form without prescribing its form. A signature on screen with a timestamp is in practice accepted by many authorities. If in doubt, ask your registration authority.
How long do we have to keep registration forms?
The registration rules of your country state a retention period for the guest register. The module keeps the forms accordingly and deletes them afterwards. The period is set in your account and can be adjusted to the rules that apply to you.
Does the module calculate the tourist tax correctly everywhere?
It calculates with the rate and exemptions you receive from your municipality or region. Rates differ from place to place and change; there is no automatic takeover. That is why you enter the rate and confirm changes.
Can the module report directly to the authority?
Where the municipality or tourism board offers an electronic portal, we set up the submission. Otherwise the list is produced as a PDF that you submit.
What about guests from abroad?
Many countries require additional details on the travel document for them. The form asks for these, and the front desk or you check the document on arrival.
