Daily briefing

Every morning at half past six, a message to the team: arrivals, departures, special requests, occasions, open questions from the night and the weather. Put together from bookings and conversations, not from memory.

In short

The daily briefing is an automatically generated morning message for front desk and housekeeping: the day’s arrivals and departures, special requests and occasions from the bookings, questions the concierge handed over during the night, the weather and notes from the house. It arrives by WhatsApp or email at a time you set, and replaces retyping from the PMS. 39 euros per month.

For hotels

The early shift starts with one page instead of five windows in the PMS. Late arrivals, allergies, anniversaries and open guest questions are listed one under the other before the first guest comes down for breakfast.

For hosts with holiday rentals

You and your cleaner know in the morning which apartment becomes free when and who arrives when, without a call and without opening the calendar.

What is on today, on one page

In most houses the day begins with gathering things: the arrivals list from the PMS, notes from the late shift, an email about an allergy, a slip of paper about the cot in room 12. The briefing at half past six is often a chat in the doorway.

The daily briefing puts this page together automatically. It reads the day’s bookings, the concierge conversations and your own notes, and writes a message that each team member has read in two minutes.

What is in the briefing

  • Arrivals

name, room or apartment, expected arrival time, number of guests, special requests from the booking.

  • Departures

room, check-out time, open items, late departures.

  • Occasions and notes

birthday, anniversary, returning guest, pet, allergy, cot.

  • From the night

questions the AI concierge handed over, with summary and status.

  • Weather and surroundings

warnings for the day, closed lifts or roads, if you use the arrival radar.

  • Housekeeping

cleaning order by departure time and arrival time, rooms with priority.

  • Your note

one free line that the duty manager leaves the evening before.

What a briefing reads like

“Tuesday, 14 January. 6 arrivals, 4 departures. Arrivals: Room 7 Novak family from 3 pm, two children, cot ordered. Room 12 Mr Lind, late arrival around 9 pm, wedding anniversary, sparkling wine promised. Room 3 Ms Egger, returning guest, vegan. From the night: Room 9 asks about a taxi at 5:30 am, not answered. Weather: level 2 snowfall warning until 6 pm. Clean first: rooms 7, 12, 3.”

The hotel case: 30 rooms, two shifts

The figures are example values. The real benefit is the last row: the sparkling wine that does not get forgotten.

The holiday rental case: cleaning without shouting across the yard

For hosts the briefing is the message to the cleaner. It contains the day’s apartments with departure and arrival times and a note when a guest comes earlier. It is the little sibling of the cleaning plan, which shows the whole week.

What you need

The bookings from your PMS or channel manager via the integration, the mobile numbers or addresses of the team, and a time. The concierge is useful but not a requirement.

When it is not worth it

  • In houses with one person who does everything and keeps the calendar in their head.
  • If your PMS does not store special requests in a structured way and nobody enters them afterwards; the briefing then stays empty.

Prices

39 euros per month on top of the operations contract. Setup is included.

Process

  1. Set recipients and time, map fields from the PMS.

  2. One week of trial run alongside today’s morning round.

  3. Launch. Every briefing stays stored in the log.

Frequently asked questions

Does an AI write the briefing?

The data comes directly from bookings and logs. A language model summarises it into readable sentences and is bound to that data. Every briefing is marked as automatically generated.

Can different teams get different briefings?

Yes. Front desk, housekeeping and kitchen can each receive only their own sections, for example the kitchen only allergies and breakfast numbers.

What about guest data in WhatsApp?

The briefing contains only what the team needs for the day, no contact details. On request it is sent by email only or in a protected area. You set the channel.

Does it work with our PMS?

With all systems we integrate, such as Apaleo, Mews, Smoobu, Lodgify or Beds24. Which fields are available depends on the system.
